Overview

As the Receptionist Office Assistant, you will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. We are seeking a highly organized, professional, and proactive Receptionist Office & Personal Assistant to support our New York corporate office and leadership team. This role combines front-desk responsibilities with hands-on administrative and personal assistant duties, ensuring smooth office operations and providing direct support to executives.

Responsibilities

  • Greet and assist visitors, ensuring a polished and professional first impression.
  • Direct guests to the appropriate person or department.
  • Maintaining heavy, complex and frequently changing calendars and coordinating meetings.
  • Answer multi-line telephone system, screen and direct calls in accordance with Highgate Standards Coordinating all aspects of appointments, meetings, and conference calls and travel arrangements.
  • Handling all confidential business matters and working independently on special assignments.
  • Provide high-touch, concierge-level support by coordinating personal and professional requests, including travel, dining, and special accommodations, to ensure seamless executive experience.
  • Coordinate scheduling of meetings, conference rooms, and office events.
  • Assist with incoming/outgoing mail, courier services, and package handling.
  • Track and order office supplies, including amenities orders and pantry restocking.
  • Ensure the executive office, meeting rooms and surrounding workspace are well-maintained, organized, and presentable at all times, coordinating facilities or cleaning staff as needed.
  • Coordinate FedEx/UPS and other shipping services for leadership and the office.
  • Assist with document preparation, printing, and binding for meetings and presentations.
  • Run occasional errands, including print shop runs, office supply pick-ups, and small local requests.
  • Works on special assignments.
  • Provide general administrative and clerical support as needed
  • Notify appropriate personnel of incoming overnight deliveries
  • Update and distribute the company phone extension list regularly

Qualifications

  • Experience in a receptionist, office assistant, or personal assistant role; corporate or hospitality environment preferred. Fresh graduates are also welcome to apply.
  • Proven experience supporting executives in a fast-paced environment
  • Advanced proficiency in Microsoft Office Suite and other relevant software
  • Strong analytical skills with a solution-oriented mindset
  • Exceptional written and verbal communication skills
  • High attention to detail with superior proofreading capabilities
  • Excellent organizational and time-management skills
  • Professional phone etiquette and strong interpersonal skills
